The System
How Orbit Works
Orbit is built on a simple 4-step loop. Everything in the app supports one of these phases.
Every thought, task, or idea goes into your Inbox. Zero friction. Use Cmd+K from anywhere.
Move tasks into Projects. Link Projects to Goals. Build the hierarchy that reflects your real life.
Today's Agenda shows what's due now. Lock in with Focus Mode and track your deep work sessions.
Check your Analytics to see your velocity, habit consistency, and focus time — every week.
Tasks
The Task System
Tasks are the atomic unit of Orbit. Each task can carry rich context — scheduling, priority, subtasks, notes, tags, and recurrence.
Start with the Inbox
Ctrl+2The Inbox is your catch-all. Any task created without a list lands here. Process it daily — move tasks to a project, schedule them, or delete them.
- Aim for Inbox Zero: every item should be triaged or deleted
- Quick-create tasks right from the Inbox input field
Organize into Projects
Projects (called Lists) are groupings of related tasks — Work, Health, Side Project, etc. Create them from the sidebar and assign a color and icon.
- Name projects by outcome, not activity (e.g. "Ship v2" not "Coding")
- You can link a Project to a Goal to track higher-level progress
Add context to tasks
Open any task to set a due date, priority (low/medium/high), urgency/importance flags, subtasks, rich notes, reminders, and tags.
- High priority + urgent = do today
- Use subtasks to break down complex work into checkable steps
- Tags let you filter across all projects (e.g. #deep-work, #quick)
Recurring tasks
Mark any task as repeating — daily, weekly, monthly, or a custom interval like 'every 3 days' or 'weekdays only'. The task will regenerate automatically.
- Use recurring tasks for habits that require scheduling (e.g. "Send weekly update")
- Use the Habits module for binary daily check-ins instead
Habits
Daily Rituals
Habits are binary daily commitments — you either did it or you didn't. Orbit tracks your long-term consistency, not just streaks.
Create a Habit Protocol
Go to Habits and click '+'. Give it a name, icon, and color. You can also set a daily reminder time so Orbit notifies you.
- Keep habits small and achievable — 5 items max to start
- Be specific: "Meditate 10 min" beats "Be mindful"
Check in daily
Each day, open your Habits page and tick off completed rituals. The Habit Snapshot widget on your Dashboard shows today's status at a glance.
- Best done first thing in the morning or last thing at night
- Missed days are highlighted so you can see patterns, not hide them
Review your Habit Analytics
Head to Analytics to see your Consistency Score per habit and an Activity Heatmap that shows which days you're strongest and weakest.
- Look for weekly drop-off points (e.g. always miss Sundays)
- A 70%+ consistency rate is excellent — don't chase 100%
Goals
Goal Alignment
Goals give purpose to your tasks. Link your Projects to Goals to see how your daily work maps to bigger outcomes.
Define a Goal
Create a Goal with a clear title, target date, color, and status (active / paused / completed). Think in terms of 90-day outcomes.
- Use specific outcomes: "Run a 5K under 25 min by June" not "Get fit"
- Give each goal a distinct color so you can spot it across the app
Link Projects to your Goal
When creating or editing a Project (List), choose a Goal to link it to. Tasks in that project automatically count toward the goal's progress.
- One goal can have multiple linked projects
- Unlinked projects show as General tasks on the Global Progress widget
Monitor progress on the Dashboard
The Global Progress and Goals Due Soon widgets on your Dashboard surface goal health at a glance. Goals within 7 days show a banner alert.
Focus
Deep Work Sessions
The Focus module is a Pomodoro-style timer that logs your deep work sessions so you can measure real productive output.
Start a Focus Session
Nav → FocusNavigate to /focus or click the Focus timer widget. Start the timer — it runs in the background even if you switch pages. Your session is logged when you stop.
- Classic Pomodoro: 25 min work, 5 min break
- Aim for 4+ sessions (2 hours) of deep work daily
Review your Focus Time
The Focus Time Summary widget on your Dashboard shows today's total. The Focus Distribution chart in Analytics shows how your deep work is distributed across categories.
- Morning sessions tend to be the most productive — front-load deep work
- Use focus data to negotiate your calendar and protect deep work blocks
Analytics
Measure What Matters
The Analytics dashboard gives you a birds-eye view of your productivity, habit health, and work patterns.
How many tasks you complete per day this week. A healthy velocity means consistent progress, not just busy days.
GitHub-style grid showing your task completion activity. Look for gaps — they reveal where focus drops off.
Pie breakdown of tasks by project. If one project dominates, you may be neglecting other life areas.
Per-habit bars showing your streak and completion rate over time.
How your deep work sessions are spread across the week and time of day.
Command Palette
Do Everything Faster
Press ⌘Kanywhere to open the Command Palette. It's the fastest way to navigate and act.
From the Command Palette you can also toggle dark/light mode, move tasks between projects, and set task priority — all without touching the mouse.
Tips
Power User Tips
When creating a habit, set a reminder time. Orbit will notify you so you never forget to check in.
Open the Command Palette (⌘K) and select "Search tasks" to find any task by title, description, or tag.
Every completed task earns you XP. Watch your Level and XP bar on the Player HUD in the top bar.
Switch between Month, Week, and Agenda views to see your scheduled tasks laid out across time.
Click "Customize" on the Dashboard to show/hide widgets. Build the layout that works for your workflow.
